Overview
Overview Managing project price lists has always been a crucial yet challenging task. Initially, companies relied heavily on Excel spreadsheets to store and update their pricing data. While seemingly convenient, this approach was prone to human error, data loss, and inefficiencies in the updating process. Recognizing these challenges, we embarked on a journey to design a digital solution that would revolutionize how price lists are managed, ensuring accuracy, security, and efficiency.
Problem Breakdown
At the beginning of our research, we identified three core issues that organizations faced when handling price lists:
Data Loss Risk: Excel lacks a robust backup mechanism and is susceptible to loss due to technical issues or human error.
Time-Consuming Manual Process: Uploading and updating prices within an Outline Agreement took a long time, extending lead times and delaying decision-making.
Weak Data Security: Excel files could be easily accessed and modified without clear control, increasing the risk of unauthorized changes or data leaks.

Understanding the User and Problem To build an effective solution, we conducted an in-depth analysis of the primary users involved in managing project price lists:
Procurement & Finance Teams: These teams needed a system that streamlined price list management, reducing errors and saving time.
Contract Managers: They required a solution that ensured the validity and security of prices before forming an Outline Agreement (OA).
Developers & Data Engineers: The system needed to support seamless integration and synchronization to prevent errors in data handling.
By gathering insights from these stakeholders, we designed a product that catered to their specific pain points and needs.
Design Solution
Design Solution Our solution introduced a structured, digitalized approach to price list management, replacing outdated manual methods with an automated system. The key features include:
Upload: Users can seamlessly upload price list data to Bspace2, ensuring that all records are stored in a centralized and structured database. Additionally, the system allows for bulk updates using an upload edit feature.
Display: A user-friendly interface displays uploaded price lists, providing an overview of all data. Users can make necessary corrections through the edit display feature.
Contract Suggestion: The system automatically validates and lists approved price list data, making it ready to form an Outline Agreement (OA) in SAP.
Posting Suggestion: Before full integration, the system enables users to upload recommended price list data for validation and approval.
Price List Integration with SAP Database: A seamless synchronization process ensures that the Bspace price list database is always aligned with SAP, preventing discrepancies and ensuring consistency.
Impact
Retrospective/Impact The implementation of this digital solution brought significant improvements to price list management:
Reduced Lead Time: Automating the upload and update process dramatically cut down the time required to finalize price lists.
Enhanced Data Security: The centralized system minimized risks associated with unauthorized modifications and data loss.
Improved Usability: A structured and intuitive interface allowed users to efficiently access, update, and validate pricing data with minimal errors.
By adopting a user-centered design approach, we successfully transformed price list management from a fragmented and error-prone process into a streamlined, efficient, and secure workflow. This project highlights the power of UX/UI design in solving real-world business challenges, delivering tangible value to organizations, and setting a new standard for digital price list management.
