Overview
Overview Managing employee leave requests has traditionally been a time-consuming and manual process. Employees often had to rely on administrative staff to submit and process their leave applications, which resulted in inefficiencies and delays. To streamline this process, we designed a self-service leave management system that empowers employees to submit their leave requests independently while ensuring seamless integration with SAP.
Problem Breakdown
Problem Breakdown Through research and analysis, we identified the primary challenges faced by organizations in leave management:
Manual Data Entry: Leave requests were previously input manually by administrators into SAP, increasing the risk of errors and inefficiencies.
Lack of Transparency: Employees had limited visibility into their leave balances and approval statuses.
Inefficient Approval Process: Leave requests had to go through multiple layers of approval, leading to unnecessary delays.
Understanding the User and Problem
Understanding the User and Problem To design an effective solution, we analyzed the needs of key stakeholders involved in the leave request process:
Employees: Required an easy-to-use platform to submit leave requests independently while tracking their leave balances.
HR & Admin Teams: Needed a streamlined system to manage leave approvals and reduce manual data entry workload.
Managers: Sought a quick and efficient way to review, approve, or reject leave requests.
Based on these insights, we developed a user-friendly and automated leave management system.
Design Solution
Design Solution Our solution introduced a self-service leave management system with the following key features:
Leave Submission: Employees can apply for leave independently through a structured interface, reducing reliance on manual processes.
Subcategories of Leave:
HO Leave: Includes Annual Leave and Extended Leave.
Site Leave: Covers Periodic Leave, Annual Leave, and Extended Leave.
Real-Time Leave Tracking: Employees can view their leave balance and track the approval status of their requests.
Automated Workflow & Integration: Once a leave request is submitted, it is automatically processed and recorded in SAP without manual input.
Approval System: Managers can review and approve/reject leave requests efficiently through the system.
Impact
Retrospective/Impact The implementation of this self-service leave management system resulted in several key improvements:
Automation of Data Entry: Eliminated the need for manual input by administrators, reducing errors and saving time.
Faster Approval Process: Streamlined workflows enabled quicker decision-making by managers.

By adopting a user-centered design approach, we successfully optimized leave management, creating a more efficient and transparent process for both employees and administrators. This project highlights the value of UI/UX design in improving workplace operations and enhancing user experiences.
